This privacy policy explains how we collect, use, and protect your personal information when you visit wordandnote.com (the “website”), buy from our shop, sign up to our newsletter, or get in touch with us. We are committed to protecting your privacy and handling your data openly and in line with UK data protection law.
Who we are
This website is operated by Nicholas Hooper Music Limited (“we”, “us”, “our”), the data controller responsible for your personal data.
- Registered in England & Wales, company number 03746812
- Registered office: Sanders Gate, Churchfields, Stonesfield, Witney, Oxfordshire, OX29 8PP

The information we collect
Depending on how you use the website, we may collect the following:
- Shop and order information. When you buy a product, we collect your name, billing and delivery address, email address, telephone number, and the details of your order. Your payment is processed securely by our payment provider, Stripe (which also provides the Apple Pay, Google Pay, and one-click “Link” options at checkout) — we do not see or store your full card details.
- Newsletter sign-ups. If you subscribe to our mailing list, we collect your email address (and, where given, your name). Our email marketing is handled through Mailchimp.
- Contact enquiries. When you use our contact form or email us, we collect your name, email address, and the content of your message so we can reply.
- Usage and device data. When you browse the website, we automatically collect information such as your IP address, browser type, device, the pages you visit, and how you arrived at the site. This is collected through cookies and similar technologies (see “Cookies and tracking” below).
Why we use your information, and our legal basis
Under UK GDPR we must have a lawful basis for using your personal data. We rely on the following:
- To fulfil your orders — processing payments, arranging delivery, and providing customer service. Legal basis: performance of a contract.
- To send you our newsletter — only where you have asked to receive it. Legal basis: consent, which you can withdraw at any time.
- To respond to your enquiries. Legal basis: legitimate interests (answering your questions and running our business).
- To analyse and improve the website and our marketing — using analytics and advertising cookies. Legal basis: your consent (given through our cookie settings).
- To meet our legal and accounting obligations — for example, keeping records of sales for tax purposes. Legal basis: legal obligation.
Cookies and tracking
The website uses cookies and similar technologies. These include:
- Essential cookies that make the site and shopping basket work (for example WooCommerce cart cookies and your session).
- Analytics cookies from Google Analytics, which help us understand how visitors use the site.
- Advertising and measurement cookies from the Meta (Facebook) Pixel, which help us measure and improve our marketing.
- Marketing-attribution cookies that record how you found the website.
Non-essential cookies (analytics and advertising) are only set where you have given consent. You can change or withdraw your cookie choices at any time through the cookie settings on the website, or by adjusting your browser settings.
Who we share your information with
We never sell your personal data. We share it only with the service providers that help us run the website and our business, including:
- Our website hosting provider;
- Our payment provider, Stripe, to process payments;
- Mailchimp, to deliver our newsletter;
- Google (Analytics) and Meta (the Facebook Pixel), for website analytics and advertising;
- Delivery and fulfilment partners, where needed to send you an order;
- Professional advisers and authorities, where we are legally required to do so.
International transfers
Some of our providers (such as Google, Meta, and Mailchimp) are based outside the UK, including in the United States. Where your data is transferred outside the UK, we rely on appropriate safeguards — such as the UK’s International Data Transfer Agreement, the EU Standard Contractual Clauses with the UK Addendum, or an approved adequacy decision — to keep it protected.
How long we keep your information
We keep your personal data only for as long as we need it. Order and transaction records are kept for as long as required by law (generally six years for tax purposes). Newsletter data is kept until you unsubscribe. Enquiry messages are kept only as long as needed to deal with your query.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you;
- Ask us to correct data that is inaccurate or incomplete;
- Ask us to delete your data in certain circumstances;
- Ask us to restrict or object to how we use your data;
- Ask us to transfer your data to another provider (data portability);
- Withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, please contact us at contact@wordandnote.com. You will not have to pay a fee, and we will respond within one month.
How to make a complaint
If you have concerns about how we handle your data, please get in touch so we can put things right. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO):
